The Approval Cycle

From scope to service day, in six steps.

Councils are volunteers. This is the shortest defensible path from "the windows need doing" to a signed contract that owners accept.

1 · Define the scope

Decide elevations, frequency and inclusions before requesting quotes. Undefined scope is the single biggest reason three quotes cannot be compared.

2 · Request comparable proposals

Send every contractor the same written scope and the proposal pack outline below. Anything missing from their submission is a question for council, not a surprise later.

3 · Verify compliance

WorkSafeBC clearance, $5M liability with the strata named additional insured, fall-protection and rescue plan, and current roof anchor certification.

4 · Award at a meeting

Use the council memo template to record quotes received, compliance checks, and the resolution wording.

5 · Notify residents

Post the resident notice 7–10 days ahead, then the 48-hour balcony reminder. Both templates are below.

6 · File the report

Keep the before-and-after photo report with the depreciation report file so the next council can see what was done and when.
